Privacy Policy — Staff Register

This Privacy Policy explains how Staff Register ("Staff Register", "we", "us" or "our") collects, uses and protects information when you use the Staff Register mobile application and related services (the "App"). By using the App you agree to this Policy.

1. Who we are

Staff Register is an attendance and payroll application for businesses operating in the United Arab Emirates. For any privacy question or request, contact us at codeyaan@gmail.com.

2. Information we collect

Account information. When you sign in with Google, we receive your name, email address and profile photo to create and secure your account.
Business data you enter. Records you add about your staff and operations — including staff names, contact details, job/trade, wages, attendance, advances, deductions, gratuity, cashbook entries, projects and invoices.
Subscription & payment data. Payments are processed by our payment provider, Stripe. We do not store your full card number; Stripe handles and stores card details. We store your subscription status (e.g. trialing, active, cancelled) and billing period.
Usage & attribution data. We use Google Firebase and Meta (Facebook) App Events to understand installs, sign-ups and subscription events and to improve the App and our marketing. This may include device and app-event information.
Technical data. Basic device and diagnostic information needed to operate the App reliably.

3. How we use your information

To provide, operate and secure the App and your account;
To store, sync and back up the business data you enter;
To process your subscription, trial and payments;
To provide customer support and respond to your requests;
To measure performance, prevent abuse and improve the App.

4. Service providers we share data with

We use trusted third parties that process data on our behalf as sub-processors:

Google Firebase (authentication, database, cloud functions, hosting) — stores your account and business data.
Stripe — processes subscription payments.
Meta (Facebook) — measures ad and install attribution.

We do not sell your personal information. We only share data as needed to run the service, to comply with the law, or to protect our rights.

5. Your responsibilities for staff data

Because the App lets you store information about your employees and workers, you are responsible for having a lawful basis and any necessary consent to collect and store that information, and for using it in line with applicable UAE data-protection and labour laws. In respect of your staff data, you act as the controller and Staff Register acts as your processor.

6. Data storage & security

Your data is stored on Google Cloud/Firebase infrastructure and transmitted over encrypted (HTTPS/TLS) connections. We apply reasonable technical and organisational measures to protect it. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Data retention

We keep your data while your account is active. You can delete your data at any time (see below). Some records may be retained where required for legal, tax or accounting purposes.

8. Your rights & deleting your account

You may request access to, correction of, or deletion of your personal data by emailing codeyaan@gmail.com. You can also delete your account directly in the App (Settings → Delete account), which cancels any active subscription and permanently removes your account and associated data from our systems.

9. Children

The App is intended for business use by adults (18+) and is not directed to children. We do not knowingly collect data from children.

10. International transfers

Your data may be processed on servers located outside the UAE by our service providers. Where this happens, we rely on those providers' safeguards to protect your information.

11. Changes to this Policy

We may update this Policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, notifying you in the App.
